Dokimos ID provides identity assurance for remote hiring. We collect only what is needed to verify candidates before an interview join link is released, and we retain the minimum data required for compliance and reporting.

What we collect

• Employer accounts: name, email, organization details, and billing information managed through Stripe. If you sign in with Google, we also receive your Google profile picture and account identifier (see "Sign in with Google" below). Account sign-in is handled by Clerk, our authentication provider.
• Video platform connections: when an admin connects Zoom or Microsoft Teams, we access the meeting and scheduling details needed to create and gate interview links. Admins can disconnect at any time.
• Candidate verification: government ID and selfie data processed by Veriff as the biometric processor of record.
• Interview metadata: scheduling details, verification status, confidence scores, and PDF reports — not biometric imagery.
• Consent and audit records: timestamped consent, policy version, and an immutable log of data events.
• Live check recording: when the employer uses the live check, a Recall.ai meeting bot joins the interview and records video for the organization's chosen window (15–60 minutes, default 60). Still frames of the candidate's camera are compared with the ID photo by AWS Rekognition; other participants' video is not compared, and a combined call recording is used only if the candidate's own video is unavailable. Only the match score and outcome are kept; recordings are deleted after the check and, at the latest, on the transient-artifact retention schedule.

How we use data

Data is used solely to gate interview links, produce verification reports for the hiring team, operate billing, and meet legal obligations. We never sell personal or biometric data and never use candidate data to train models.

Sign in with Google

Employer users can sign in to Dokimos ID with their Google account. When you choose "Continue with Google," we receive your name, email address, profile picture, and Google account identifier from Google. We do not request access to your Gmail, Google Drive, Calendar, contacts, or any other Google data. Candidates never sign in with Google.

We use this information only to create your employer account, sign you in, and identify you within your organization's workspace. We do not use Google user data for advertising, we do not sell it, and we do not use it to train AI or machine-learning models. We share it only with Clerk, our authentication provider, which processes it on our behalf to operate sign-in.

We keep this information for as long as your account is active. You can ask us to delete it at any time by emailing support@dokimosid.com. You can also remove Dokimos ID's access to your Google account at https://myaccount.google.com/permissions.

Dokimos ID's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

Analytics and error monitoring

Signed-in employer dashboards use PostHog for product analytics (cookies and local storage; session recording and surveys are off) and Sentry for error monitoring. Both run with personal data, verification tokens, and meeting links scrubbed. PostHog never runs on candidate verification pages; Sentry may capture scrubbed technical errors there so we can fix failures.

Retention

Transient verification artifacts are automatically deleted on a hard, logged schedule after the interview (organization-configured period; default 7 days, maximum 90). PDF verification reports are deleted 90 days after they are generated, or earlier on a deletion request. Employer account data, including information received through Sign in with Google, is kept while the account is active and deleted on request or when the organization's account is closed. Your rights

Candidates and employer users may request export or deletion of their data. Contact support@dokimosid.com to submit a request.
